Cost: $30 a month for a single workflow, $500+ for anything touching accounting. The real cost is neither. It is that every property, lease and jurisdiction differs slightly, and an agent encoding the wrong variant runs confidently wrong across the whole portfolio.
What the work looks like now
Ask a property manager where the week goes and the answer is rarely "managing property." It goes to messages.
One leak becomes six touches:
- Text the plumber
- Negotiate a time with the tenant
- Follow up when the plumber does not show
- Code the invoice to the right unit
- Update a system someone may not update
- Tell the owner if it was material
None difficult. Multiply by a portfolio and the job is a queue. The manager relays information between people who cannot see each other's calendars.

The value is the triage, not the intake. "Water coming through the ceiling" and "the faucet drips" are both plumbing and are not the same day. A misclassified emergency is a habitability problem and eventually a legal one.
Terminology check: a tool that files a request is doing intake, not acting across systems. A fair amount of the category is agent washing rather than multi-step automation.
Rent, renewals and the scheduled calendar
Least glamorous, most reliably pays for itself. All date-driven, all costly when missed:
- Rent reminders before the due date
- Late notices on the schedule your jurisdiction requires, which varies enough by state that bodies like the National Apartment Association maintain guidance
- Renewal outreach at 90 days
- Inspection scheduling
- Insurance certificate expiry
Renewals are the clearest case. A lease lapsing to month-to-month because nobody sent the notice is a direct, measurable loss, and it happens because a person was busy in week 11.
After-hours and overflow response
The comparison is not automation versus a person. It is automation versus voicemail. A tenant with no heat at 10pm reaching a system that logs the issue, confirms a response and escalates a genuine emergency to an on-call number is far better served than one who reaches a beep.
Where it does not fit
- Legal exposure. Eviction, lease violations, habitability disputes, screening decisions. The Fair Housing Act makes how you decide, and how consistently, the liability itself. "The software did it" is not a defense.
- Screening judgment. Automation may gather and organize application data. Where a decision relies on a consumer report, Regulation B requires a specific adverse-action notice, so the reason must be statable. Collect, do not decide.
- Portfolios where every property differs. Automation rewards sameness. A handful of buildings with different lease terms, jurisdictions and owner preferences will cost more to configure than it saves.
- Owner communication carrying bad news. A vacancy, a large repair bill, a below-expectation month. Relationship conversations. Automating them saves ten minutes and costs an owner.
Fourth option nobody sells: remove the request rather than automate it. If a third of maintenance volume is the same failing appliance model, the fix is a replacement schedule, not faster ticket routing.

The cost nobody quotes is upkeep of the automation. Rent amounts change. Vendors change. A jurisdiction updates a notice period. An owner changes an approval threshold. The failure mode is not an error message. It is a notice going out with last year's required language.
How to tell if you are ready
- Is the process the same across most of the portfolio? Automation rewards sameness. If every building has its own rules, write them down first. That exercise alone surfaces inconsistencies worth fixing.
- Does it break when one specific person is out? The coordinator who knows which plumber actually answers is a single point of failure. That is the first workflow to fix, and it is almost never the biggest.
- Can you state the escalation rule in one sentence? "Anything involving water, heat, or a locked-out tenant goes straight to a human." If you cannot express the boundary that plainly, the system will find the ambiguity first.
Three yeses: build. Fewer: spend the money on documentation.
Buy a tool or build the workflow
Buy in most cases. The platforms handle standard portfolios on standard software and the integration work is done. Vendor guides such as DoorLoop's map the category reasonably, with the caveat that they are written by people selling it.
Build in three situations: the workflow spans more than about three systems, your process genuinely differs from vendor assumptions, or per-unit pricing has outgrown a one-time build.
